Help Needed
Judging by the profiles of the people signing up, almost none of them can play an instrument.
Scream.
But we can't turn our customers away.
So, here's the Emergency Contingency Plan that we MUST put into action:
- Compile a list of songs that are popular/catchy, can be played by a band, and contain only 3 chords, with the maximum of 4 chords.
NOTE: We must consider all genres. So far, I've looked into Maroon 5's 'She Will Be Loved', Snow Patrol's 'Chasing Cars', and One Republic's 'Apologize' (but the chords are hard to play). We need more pop: Mandarin Pop, J Pop even, K Pop if anyone's up to it, and some of the English Pop side that I may not be familiar with.
- For every song, provide chord charts, score and lyrics.
- Prepare the backup band that will play behind the 'band' if need be. Most likely MadHatter (as Mandric was with me and Jimmy spoke to him too) AND we may need to pull in DMATers to help us. (CCA points!) I foresee that this will have to be implemented, as there will be groups of 5 singers and no band.
I can't do this on my own. It's a LOT of work. So, it's time to distribute the workload!
Mandric will help us, as it's his band that may help us out. Vera, we need to find people to just get the songs and rake up existing chord charts, scores and so on and so forth. Anyone that has music scores, charts, leadsheets, whatever, we need to find them.
But, two people aren't enough. We need more people - not necessarily people involved with the camp - to help us. And maybe give a food voucher or something as a reward (XD).

Meeting with Jimmy on Wed 12pm
1. We shouldn't have any problems getting CCA points for helpers. Number of points depends on the number of hours helped out. Zaki, please send me the student ID (admin number), full name as well as the number of hours for helpers. Try to get back to me by Monday? Committee members can be given points too! :)
2. In regards of putting up posters in our own Poly, we have to go to each school to ask them for permission (eg. DMIT, SD, SB). Sly will settle SD since it's his sch. The rest, we'll have to do. Targetting to complete this by Wed latest.
3. No sponsors have replied.
4. Mei Poh to give Jimmy a concrete program by next week, with planning for talentime schedule and when KKJ as well as Madhatter will play. Mei Poh, please let me scan through by Tuesday. Thanks.
5. We have to do a TV interview next wed for promotion also. Details will be given nearer to the date. It should be after the meeting. I am looking at Milli and Zaki to be with me for the interview. They need the rockers vibe people. I just got to know this today.
6. Last one, please update me with what you have done for promotions or anything you've done for the past week. I need to update Jimmy with our progress. I am looking at sending him an email latest by tml night, so you know your deadline huh... =P

Meeting with Jimmy
- Confirmed meeting with Jimmy every Wed at 12pm. Meet outside his office.
- we can get the school to help us print leaflets and posters, just need to give them the soft copy (Sylvester to follow up)

Band Camp for Secondary School Musicians
Singapore Polytechnic is running a camp for secondary school students who are in bands, interested to be in a band, or interested to experience the band experience. We would like to promote this event in your school, and would like to know if the school is interested to promote this to their students.
We have posters to promote the event, providing details of the camp. In brief, the camp will be held at Singapore Polytechnic, and for 5 days they will experience and learn about how a band functions together as they play a piece on stage. The final day would be the band's performance onstage to their first audience. The price of the camp would be $250.
If the school agrees to promote the event, we are willing to send down a representative to promote and present the camp with you, if need be. We will also go into further detail about the camp.
(On a personal note, I as an alumni of St. Margaret's Secondary think that this would be great for girls who would like to play in chapel as a band, or play for talent time. I recall such class and student bands existing, and they played enthusiastically. I think there may be more like my peers still in the school, and this would be great for them.)

That Email to send out to schools
I haven't sent mine (Sorry!) But, I had been drafting things out and realized that there are points left unclear.
I talked to Vera, and she asked me if I could draft a letter, based on these points:
- SP is holding a music band camp! (Run by us, but we're not saying that yet.)
-We would like to know if the school's interested to promote this event to its students.
-If there are any queries, contact Amelia/Milli (which name to use?) at 395u0434utu...
However, I have some things I want to make clear. I think I should let you all in this decision-making, as this would affect the schools' views of us. I still have a few things unclear:
- Should we include the promotional prices into the email? (Early-bird, Group registration)
- That new poster. Once we have a confirmed design and the email's not out yet, can we add it in?
- I wonder if we should tell the school of how we're related (only useful if you were from that school before)
Now here's where you come in. What else did I miss out?
At the end of the day, a draft email will be published here (most likely), and you can copy and paste it into Hotmail, Gmail, whatever you use, and send. Makes the job slightly easier.

Also, good to see your 1st wave of schools to market to- please activate and take steps to implement the marketing asap- I expect to see significant results by 14th Sep- do report as and when you receive any updates:)
Your early bird and group discounts - has the committee discussed this - is it finalised? Is it attractive enough?
Sponsors- any thoughts of including the other instrument dealers such as Swee Lee and Citymusic? Geoff's studio Resonance Audio ( maybe they can sponsor recording studio hours?)
Also, can one of you come up with a draft sponsorship letter which should state what your camp is about, the fact that secondary students are your target audience, the numbers expected and more importantly thenumber of schools you are intending to market to, some of the collaterals you will be producing eg posters, banners, T-shirts, concert etc at/on which sponsors can place their logos, tiers of sponsors , what you are requesting from sponsors eg cash, prizes ( eg instruments), expertise ( eg guest speakers). Do mention that you have already secured KKJ as guest band. Please do this draft so that I can check it for you soon.
The sponsorship letter should go out by mid Sep too.

7th Aug meeting with jimmy

Okay, I'm going to group what was said today into a few different categories for easy digestion.
1. Going over costs and budget
- Camp tee: Design needs to be finalised so that a printing quote can be obtained (Sly to act)
- Publication materials i.e. brochures, posters, banner (?): More concrete figures about each type required, further breaking down of costs (Pei Ling to act?)
- Food: Could the buffet be scrapped to accomodate other costs?
- Prizes: Sponsorships should be sought (Who should work with Vera regarding sponsorships?)
- Targeted $4800 profit: How should it be split, if at all? Decision was made not to give the money to the school.
2. Programme
- Proposed dates of 8th - 12th Dec: ensure that secondary school students are generally not occupied
3. Marketing
- Teacher's networking: Jimmy mentioned that SP will be taking this opportunity to let secondary school teachers know what SP has in store for their graduates over the holidays. Action: Publicity material required to 'sell' the camp to these teachers
- Liaison with secondary schools (Mei Poh has contact list)
- Bear in mind necessity to target at least 10 schools
- What is the time frame for marketing? i.e. begin after their prelim exams?
- Do certain schools have regulations regarding imposition of publicity materials? i.e. size of posters
4. Branding
- Next Gen: Is this sufficient branding? Should we consider something more music-related?
- Tagline: 'Bond with Music' not so suitable. Need to consider something more related to the band, songwriting and performance nature of the camp
5. Guests performers/speakers
- Who can we approach? Radio personalities, production experts?

6. Sponsorship
- Raised possibility of sponsorship packages - what can we offer?
- Need to think of ways to reach out to more students so that advertising becomes more attractive
- Yamaha was suggested as a possible sponsor: If we can negotiate successfully with them, we may have prizes and some Yamaha personnel may even be guest speakers

alternate designs of posters
i've been informed that i have to come up with another 2 or 3 designs for the posters to choose from so i would like u guys to give me some comments about the colour choice of the posters...
do give me a range of colours or better, a few colour combination... i would then go through colour theory n come up with the remaining posters...
i need to have the comfirmed taglines oso... And the theme of the posters would probably revolve around performance or dreams about performing... yea.. so pls give me and update asap...

So the school is suggesting that we come out with everything finalised to be marketed to the teachers/schools that day.

But here are a few things confirmed for now. So kindly take note.
1. There will be a meeting next Monday (21.7.08) at 12pm sharp. So be there on time as our dear yr ones have another class at 1pm. The agenda for that day will be on the program for the camp. Mei Poh will be hosting the meeting. Mei Poh the time is yours! :)
2. Logistics: I need to hear from you guys today, next monday (21.7.08) and the friday (25.7.08). Just send me an email today and I will see you guys after the meeting on monday.

What we envision of the camp
The camp will be a talentime camp in which campers come and form up groups to perform in the camp. They may or may not know each other before the camp.
The objective of the camp will be a preparation for them to take part in future talentimes. We would cover the things which they need to know when performing. What are the dos and don'ts. What are the techniques that can be used. What can they do to make the performance better.

But first, we need a plan. Correction, we HAVE a plan. (All the meetings you guys had before I came in mustmustmust have amounted to something!)
I'm making the draft of the camp programme as we speak. What I need to know is this:
- What have you guys on your mind for the camp? E.g. a bass-only class, a band come down and perform for the campers, a rockout jamming session...
(Note: I do see that there are some activities noted below. I've taken them into account, but I want to know what you guys have in mind. Vera wouldn't mind you all posting your own suggestions, I'm sure of that. ;) )

Hi, Fellow Managers!
A formal introduction should be made, I guess. I've worked on a similar project to Vera's during my Second Year, but my camp never took flight.
Now that we've moved on to Year 3 and the much-more-serious POD, I hope to implement what I've learned through my experience in BuMs and ITP (I worked in an enrichment company, creating and planning a digital music camp for schools that is ongoing this June) with you all to make our camp a success.

- how many helpers and trainers are we getting
- program of camp (we need to make it more enriching. we can put it into our amazing race and do a "learn through play" thing or really hold a class)
- dates for camp
- cost of camp
- roles of everyone in the committee (tell me what you can do and will like to do)
- camp details and focus
*those in yellow are what we have to definitely get by end of meeting. The others are just there to fill up your mind... Haas...
Just to warn you guys, I'll be serious during meetings once the year 3s are included. I can play with you guys and still work, but not with them. I need to let them know that they have to do their thing. We'll play before and after meetings ok. =)
