Further thoughts from Jimmy

Concerning KKJ's engagement: my advice is to engage them not just as performers but also as guest speakers- so that they do not just come and perform a set on stage but also take the time to talk to your participants and share some of their tips and experiences. Definitely also answer questions from audience. Please make sure you communicate this clearly to KKJ so that they know what to expect- audience numbers for eg may be smaller than what they are expecting.
Make sure your gig contract with them is clear on these points:)

Thoughts from Jimmy

Ok-first off- well done for securing KKJ as guests for the music camp. Good job. Please make sure to confirm them by getting them to sign a basic contract- Year 3s should know how to draft a simple one right?

Also, good to see your 1st wave of schools to market to- please activate and take steps to implement the marketing asap- I expect to see significant results by 14th Sep- do report as and when you receive any updates:)

Your early bird and group discounts - has the committee discussed this - is it finalised? Is it attractive enough?

Sponsors- any thoughts of including the other instrument dealers such as Swee Lee and Citymusic? Geoff's studio Resonance Audio ( maybe they can sponsor recording studio hours?)
Also, can one of you come up with a draft sponsorship letter which should state what your camp is about, the fact that secondary students are your target audience, the numbers expected and more importantly thenumber of schools you are intending to market to, some of the collaterals you will be producing eg posters, banners, T-shirts, concert etc at/on which sponsors can place their logos, tiers of sponsors , what you are requesting from sponsors eg cash, prizes ( eg instruments), expertise ( eg guest speakers). Do mention that you have already secured KKJ as guest band. Please do this draft so that I can check it for you soon.
The sponsorship letter should go out by mid Sep too.

Meeting minutes

11 Aug, 6.15pm

Rules and regulations, corporate style!
  1. Late-coming: penalty is a fine of $1 to each person there before you for every 5 minute slot
  2. Missing submission deadlines: warning after first offence, sacked from committee after second offence
  3. Attendance at meetings: committee members to RSVP within the day the date of next meeting is set, so alternate dates can be arranged
  4. No-show at meetings: acceptable if Vera is informed prior to commencement of meeting, otherwise, warning after first offence, sacked from committee after second
  5. During term: Meetings fixed every Monday 6pm
  6. Camp-matters correspondence: all emails to be Cc-ed to Vera
  7. Sub-committee meetings: minutes to be forwarded to Vera

Allocation of profit

  • Vera: 25%
    Everyone else: 15%

Roles

  • Everyone was reminded of their roles
  • Vera needs to find a suitable assistant for camp operations management, most likely someone with camp management experience
  • Mei Poh will not be present during camp duration: Zaki should not allocate her any camp duties

7th Aug meeting with jimmy

Present: Vera, Sylvester, Mei Poh, Pei Ling, Zaki, Amelia

Okay, I'm going to group what was said today into a few different categories for easy digestion.

1. Going over costs and budget

- Camp tee: Design needs to be finalised so that a printing quote can be obtained (Sly to act)
- Publication materials i.e. brochures, posters, banner (?): More concrete figures about each type required, further breaking down of costs (Pei Ling to act?)
- Food: Could the buffet be scrapped to accomodate other costs?
- Prizes: Sponsorships should be sought (Who should work with Vera regarding sponsorships?)
- Targeted $4800 profit: How should it be split, if at all? Decision was made not to give the money to the school.

2. Programme
- Proposed dates of 8th - 12th Dec: ensure that secondary school students are generally not occupied

3. Marketing
- Teacher's networking: Jimmy mentioned that SP will be taking this opportunity to let secondary school teachers know what SP has in store for their graduates over the holidays. Action: Publicity material required to 'sell' the camp to these teachers
- Liaison with secondary schools (Mei Poh has contact list)
- Bear in mind necessity to target at least 10 schools
- What is the time frame for marketing? i.e. begin after their prelim exams?
- Do certain schools have regulations regarding imposition of publicity materials? i.e. size of posters

4. Branding
- Next Gen: Is this sufficient branding? Should we consider something more music-related?
- Tagline: 'Bond with Music' not so suitable. Need to consider something more related to the band, songwriting and performance nature of the camp

5. Guests performers/speakers
- Who can we approach? Radio personalities, production experts?
- Relatively well-known local bands

6. Sponsorship
- Raised possibility of sponsorship packages - what can we offer?
- Need to think of ways to reach out to more students so that advertising becomes more attractive
- Yamaha was suggested as a possible sponsor: If we can negotiate successfully with them, we may have prizes and some Yamaha personnel may even be guest speakers
- Who else?

7. Next Meeting: 14th August, 1pm
- Finalised poster design
- Branding: Confirmed camp name and taglines
- Proposed sponsorship packages
- List of facilitators

Meeting tml with Jimmy at 1pm

Hi guys, just here to remind you guys that there's a meeting with Jimmy tml at 1pm.

The agenda:
1. Show him the firm up camp program
2. Show him the camp cost
3. Let him know the registration cost
4. Let him know the date of the camp
5. Show him the brochures as well as tagline and camp name

I will sent you guys everything by tml morning. I'll probably need the whole night to cost out everything. Thus, Pei Ling, please send me the cost asap. Latest by 12am. Mei Poh, send me the program too :)

Also, a side note: I am currently looking for sponsors, any company that you guys would like to suggest? Apple is out already cos they don't seem to sponsor for Singapore events.

new poster design


hi guys... this one's a rather rough one.. jsu wante to illustrate the feel i wanted to add in.. hahaha


this is a poster more towards the classy side... =p or wadeva we call it.. hahaha... will be editing it more if its chosen.. hahaha...

i meant this poster to be very clean n classy so nothin much in the background except for a violin n some musical notes...

the main focus is targeted on the camp details and the camp name.

alternate designs of posters

Hi Guys,

i've been informed that i have to come up with another 2 or 3 designs for the posters to choose from so i would like u guys to give me some comments about the colour choice of the posters...

do give me a range of colours or better, a few colour combination... i would then go through colour theory n come up with the remaining posters...

i need to have the comfirmed taglines oso... And the theme of the posters would probably revolve around performance or dreams about performing... yea.. so pls give me and update asap...

if there's any other comments or additional opinions about the current poster, pls do give me an update as well... i will try to complete the posters by the next meeting with jimmy if possible, so do give me an update soon~
